Identify the circuit
Start by stating whether the enquiry concerns low-temperature hot water (LTHW), chilled water (CHW), or both. If the building has several circuits, label them separately and explain the areas or equipment they serve.
Say what has prompted the work
A project specification, recent water test or maintenance recommendation gives the enquiry context. Include the relevant documents and explain whether you need chemical cleaning and flushing, testing and dosing, filtration, or a combination.
Gather the information already available
Useful information includes drawings, estimated system volume, equipment details, treatment records and recent test reports. Missing details should not stop an initial conversation: say what is available and what is still being established.
Include the practical constraints
Plant-room access, isolation arrangements and the project programme can affect the scope. Explain any occupied areas, shared systems and work by other contractors that need coordination.
